Week one: Deep Dive
We document network, endpoints, servers, identity, backup and security, and give you a written report of every finding.
Why Hire Us
If you are gathering quotes right now, this page is written for you. It covers exactly what is included, the money that disappears while you decide, how the first thirty days run, and how we remove the risk of choosing us.
For Buyers
You are probably holding two or three proposals that all look similar. Here is how to read ours.
What you are buying with Pod Care is a complete IT function at a flat monthly per-user cost: 24/7 monitoring, scheduled patching, help desk with same-business-day human response, security tooling, tested backup, vendor management, documentation and quarterly strategy. Not a phone number to call when something dies. The bill moves when your headcount moves, and nothing else surprises you, because projects are quoted before they start.
What you are also buying is a named team. Two engineers minimum hold your account permanently, they work out of Gilbert, and they are Orca IT employees. You will meet them before you sign. That is the part proposals rarely mention and the part that determines whether your experience next February is good.
The cost of poor IT is real but invisible, because it never arrives as an invoice. Ten people unable to work for three hours is thirty lost hours plus the calls that went unanswered. A machine that wastes twenty minutes a day burns roughly eighty hours a year for one employee. An unpatched server that gets encrypted can cost weeks, and for smaller firms sometimes the business.
Then there is the owner tax. Most small companies have somebody, often the founder or the office manager, quietly acting as the IT department. That person is being paid to do something else. Handing those hours back is usually the single largest and least discussed return on hiring an MSP.
If you want to sanity-check these numbers against your own business, our free downtime cost calculator and IT cost estimator will do the arithmetic with your figures rather than ours.
Onboarding is a defined thirty-day sequence, not an open-ended project. Week one is the free Deep Dive: we document your network, endpoints, servers, Microsoft 365 tenant, identity configuration, backups and security posture, then hand you a written report of what we found. Week two we agree the plan and the flat monthly number, and we deploy monitoring and endpoint protection. Weeks three and four we work the fix-first list, MFA gaps, unpatched systems, failing hardware, untested backups, and meet your staff so they know exactly who to call. By day thirty you are covered and documented.
On risk: the assessment is free and the report is yours whether or not you hire us. No long-term contract is required. You own your hardware, your licenses and your Microsoft 365 tenant, and your documentation transfers to you on request at any time. Nothing is subcontracted, so accountability never becomes somebody else's problem. If we get something wrong, there is a family owner in Gilbert whose name is on it.
The honest disqualifiers matter too. We are not the cheapest quote in the Phoenix metro. We are not a fit for organizations that want a purely hourly relationship, and we will say so early rather than sell you a plan you will resent. If you would like the structural comparison against other providers, read how we are different. Otherwise, check we cover you at areas serviced, browse the full Services list, or request a written quote through estimates.

What You Get
Compare this list line by line against the other proposals on your desk.
Endpoints, servers, switches, firewalls and backup jobs watched continuously, so most incidents open before your staff notice them.
Windows, macOS and third-party patching on a tested schedule, with compliance reports you can hand to an insurer or auditor.
Same-business-day human response for support requests, plus after-hours emergency response for genuine outages.
MFA and Entra ID hardening, conditional access, EDR, email filtering and staff phishing training, all included rather than upsold.
Image-level backup with periodic restore testing, because an untested backup is an assumption you cannot afford.
We handle your ISP, line-of-business software vendors and hardware warranties, and review the roadmap with your leadership each Surface Check.
Onboarding
We document network, endpoints, servers, identity, backup and security, and give you a written report of every finding.
You get the flat monthly number and the ranked fix-first list. Monitoring and endpoint protection go out across the fleet.
We close the highest-risk gaps first, MFA, patching, failing drives, backup verification, scheduled around your working hours.
Your pod meets your staff, support channels go live, and the finished documentation set is handed over to you.
No open-ended discovery, no rolling project fees, no surprises after signature.
Risk Reversal
We removed the usual reasons buyers hesitate.
You get a written picture of your environment before any money changes hands, and you keep it either way.
We earn the renewal monthly. If the service stops being worth it, you are not trapped in year two of three.
Hardware, licenses, domain and Microsoft 365 tenant stay in your name. Nothing is held back as a bargaining chip.
Ask at any time and your network documentation is handed over. That is a promise most providers will not make in writing.
Projects are quoted in advance. You approve a number, not an estimate that grows once the work is underway.
Family owned, locally based, nothing subcontracted. When something goes wrong you reach the people responsible for fixing it.
Same engineers, same number, one predictable monthly cost. Let us quote it.
Monitoring and alerting around the clock, scheduled patching with reporting, help desk with same-business-day human response, layered security including MFA and endpoint detection, backup with tested restores, vendor management, documentation and recurring strategy reviews. Projects outside that scope, such as a server replacement or an office move, are quoted separately before they begin.
Flat monthly per user, with adjustments for servers and the security tier you need. That means your bill tracks headcount rather than how bad your month was. We give you the number after the free Deep Dive rather than guessing before we have seen your environment.
No long-term contract is required. There is a service agreement that defines scope and expectations, as there should be, but you are not locked into a multi-year term and you are free to leave with your assets and documentation.
Mostly in hours you never see billed. Ten people idle for three hours is thirty lost hours plus missed customers, and a slow machine can waste eighty hours a year for a single employee. Add the founder or office manager acting as unpaid IT staff, and the hidden cost usually exceeds a managed plan well before you count the risk of a serious incident.
About thirty days for most small and mid-size environments. Week one is assessment, week two is planning and deployment of monitoring and endpoint protection, weeks three and four cover the highest-risk fixes and staff introduction. Larger or messier environments take longer and we tell you that up front.
Regularly. We coordinate the transfer of admin credentials, licensing, tenant ownership, monitoring and backups, and where possible run our tooling alongside the incumbent so nothing is unmonitored during the handover. Most switches finish in two to four weeks.
That is fine. Plenty of clients start with a server migration, a network rebuild, an office move or a single repair. There is no requirement to buy a managed plan, and we will not spend the project trying to convert you.
Call (602) 677-0779 or use the contact form and ask for a Deep Dive. The first conversation is about fifteen minutes, the assessment is free, and you will have a written report and a flat monthly number before you are asked to commit to anything.
