How Support Works
From your message to a working machine
Support at Orca IT is not a lottery. There is a defined path from the moment you contact us to the moment the problem is closed, and you can see where you are on it at any point.
Every client is assigned a small, permanent team of the same engineers, a pod. That means the person handling your ticket already knows your network layout, which server runs your line-of-business app, and that the printer in the back office has an opinion about firmware updates. It removes the single most wasteful part of most support experiences: explaining your environment to a stranger before anyone can help you.
Opening a request
Call or text (602) 677-0779, use the contact form on this page. All three land with the same team in Gilbert. Include what is broken, which machine or system, who is affected, and whether there is a deadline. If you can, send a photo of the exact error text, error codes are searchable, paraphrases are not.
How a remote session runs
For most software, email, Microsoft 365, printing and configuration problems, remote is faster than onsite. We send you a one-time session link or ask you to launch the agent already installed on managed machines. You click to accept, and you can watch everything we do on your own screen for the whole session.
You keep control throughout. You can see the cursor move, you can take it back at any moment, and you can end the session with one click. Sessions are encrypted end to end. We do not connect to a managed machine without your knowledge, and for unattended maintenance windows on Pod Care clients we schedule the window with you in advance. When the work is done, the connection closes and any temporary session tool is removed.
Not everything can be done remotely, and we will say so plainly. Failed hardware, liquid damage, cabling, switch and access point installs, server hands-on work and anything requiring a physical console needs a bench or a site visit. Behind the scenes, Pod Watch monitoring is often what opens the ticket in the first place. Disk health warnings, failed backup jobs, RAID degradation, unusual login patterns and patch failures generate alerts on our side before they generate symptoms on yours. Five minutes of prep that saves an hour
You do not need any of this to get help. It just shortens the path.
Write down the exact error
Codes like 0x80070005 or a specific Windows update KB number point straight at a cause. A photo of the screen is better than typing it out.
Know the scope
One user, one office, or everyone? That single answer routes a problem between a workstation fix, a network fix and a cloud service outage.
Note what changed
An update, a new app, a power event, a moved cable, a new employee, a password change. Recent change is the most common cause of sudden failure.
Have someone at the machine
Remote sessions need a person to click accept and, sometimes, to power-cycle or read a boot screen. Book the fifteen minutes.
Check the backup status
If data is at stake, tell us what backups exist before we start. It determines whether we work on the original drive or an image of it.
Tell us the deadline
Payroll Friday, a closing Tuesday, a survey Monday morning. We prioritize by business impact, and we cannot weigh a deadline we do not know about.

How do I open a support request?
Call or text (602) 677-0779, use the contact form on this page. All three reach the same team in Gilbert. Include the machine, the symptom, who is affected and any deadline, and you will get a same-business-day human reply.
Do I need to install anything for remote support?
For a one-time session, we send a small temporary tool that you run and can uninstall afterward. Managed clients already have a monitoring agent in place, which lets us connect and patch on a schedule you have agreed to. Either way, nothing connects without your approval.
Can I watch what you do during a remote session?
Yes, and we prefer it. The session runs on your screen, you see every action, you can take back control instantly, and you can end the connection with one click. Many clients use it as an opportunity to learn what we are changing and why.
Is remote support secure?
Sessions are encrypted end to end and require your explicit acceptance to start. We do not leave standing access on non-managed machines. For managed environments, access is tied to named engineer accounts with multi-factor authentication rather than a shared password.
What counts as an emergency?
A server or site that is down, a suspected ransomware event or active breach, a failed system that stops the whole business, or anything with immediate financial or safety impact. Say so when you call and we escalate ahead of routine work.
Do you offer after-hours support?
We run 24/7 monitoring on managed environments, and Pod Care clients have after-hours emergency response for genuine outages and security incidents. Routine requests outside business hours are picked up on the next business morning.
What if the fix cannot be done remotely?
We tell you immediately and switch to a bench or onsite plan. Hardware failure, cabling, switch and access point work and anything needing a physical console requires hands on the equipment. Onsite covers the Phoenix metro and East Valley.
Do I have to be a managed client to get help?
No. We take one-time repairs, project work and ad-hoc requests from businesses and individuals. Managed clients get priority triage, after-hours emergency response and included coverage, but the door is open either way.
