Overview

Dental IT is an imaging problem wearing a practice management costume

The practice management database is small. The images are enormous, and they are the part most offices are not really protecting.

Most offices we walk into run Dentrix, Eaglesoft, Open Dental or Curve Dental, with imaging from Dexis, Schick, Carestream, Romexis or Sidexis layered on top. The practice management data sits in a database engine on a local server. The images, intraoral sensor captures, panoramic and CBCT volumes, intraoral scanner STL files, usually sit in a separate folder structure on the same server, sometimes on a different drive, occasionally on a workstation nobody remembers. Back up one and not the other and you have a chart with no pictures in it.

That folder is also a performance problem. Image directories accumulate hundreds of thousands of small files, which is exactly what makes a nightly file-level backup crawl and a spinning disk feel slow at 8am when every operatory opens at once. We move image stores onto SSD or NVMe, keep the database on a properly configured volume, and use a backup approach sized for the file count rather than the raw gigabytes. Verified restores are part of our backup and recovery service, not an optional extra.

Operatory hardware is its own discipline. Sensor drivers and calibration files are version-sensitive and break after unattended Windows updates. Wall-mounted PCs and arm-mounted monitors run hot behind a plate and collect dust. Staff work in gloves, so keyboards and mice get covered or replaced with wipeable models. Pan and CBCT acquisition machines often have vendor-locked configurations that must not be casually patched. We handle those machines under a controlled update policy so an overnight patch never costs you a morning.

Uptime during chair time is the whole promise. We stage patching and reboots for evenings or the day the office is closed, keep spare operatory PCs imaged and ready, monitor server disk and RAID health continuously, and put a UPS on the server and network gear so an Arizona monsoon flicker does not corrupt a database mid-write. If a workstation dies at 10am, the answer is a swap, not a diagnosis.

HIPAA applies here exactly as it does in medical. Named logins per team member instead of a shared ‘frontdesk’ account, encryption on any laptop that leaves, screen locks in operatories where patients sit alone, and encrypted transmission when you send images to a specialist. Dental IT questions

Do you support Dentrix, Eaglesoft, Open Dental and Curve?

Yes. We manage the server, database volume, workstations, network and backups those platforms run on, and we coordinate directly with the vendor for in-application issues and version upgrades. Cloud platforms like Curve shift the database off your server but leave the operatory PCs, imaging hardware and internet redundancy squarely on us.

How do you back up dental images?

Both the practice management database and the separate image file store go into the job, because they are useless apart. We keep a local copy for speed, an offsite copy that is immutable or otherwise protected from ransomware, and we run scheduled test restores so we know the images actually open.

Our sensors break every time Windows updates. Can that be stopped?

Largely, yes. Imaging workstations go into a controlled patch ring where updates are held, tested and released deliberately rather than installed the night they ship. Known-good driver versions are pinned and documented, so if something does regress we can put the machine back in minutes.

Should we move our server to the cloud?

Sometimes. Imaging is bandwidth-heavy and latency-sensitive, so a full cloud move only makes sense with the right circuit and the right software. We measure your study sizes and your internet before recommending anything. Often the better answer is a modern local server with solid offsite backup and a clear recovery plan.

How much internet do we need?

It depends on your imaging volume, whether your practice management is cloud-hosted, how many operatories stream video for patient education, and whether you run VoIP. We size the circuit against actual usage and almost always add a secondary connection or cellular failover, because a dead circuit stops scheduling, imaging and phones at once.

Can you handle a new office build-out?

Yes. Structured cabling to every operatory, server and network closet layout, wireless design for a building full of metal and lead, imaging hardware placement, phones and printers. Bringing us in during construction is far cheaper than retrofitting drops after the drywall is up.

Do you sign a BAA for dental practices?

Yes. Dental practices are covered entities under HIPAA and we sign a business associate agreement before we access anything. We also help you implement the technical safeguards side of the Security Rule, though your compliance program still owns training, policy and physical safeguards.
