Overview
In most retail environments a system failure costs a day of sales. For a licensee, a recordkeeping failure is a different category of problem entirely.
Federal firearms licensees are required to maintain acquisition and disposition records and completed Forms 4473, and to retain them for the periods set out in the regulations. ATF rulings permit electronic recordkeeping and electronic 4473s, but only under specific conditions that are as much technical as procedural: records must be retrievable and printable on request, protected against unauthorized alteration, backed up, and produced in a form an inspector can review. Those conditions translate directly into IT work, access control, audit trails, verified backup and a documented retention plan. We build that environment and keep the evidence current. Your compliance obligations remain yours, and questions of interpretation belong with ATF guidance or your attorney.
In practice most dealers run one of the industry recordkeeping and point-of-sale platforms, cloud-based or on-premise. The IT questions are the same either way. Who has access, and is that access tied to a named individual rather than a shared login. Is the data backed up somewhere that a ransomware event cannot reach. If the platform is cloud-hosted, do you have your own export copy rather than relying entirely on the vendor. If it is on-premise, is the server on supported hardware with monitored disk health and a tested restore. Losing your records is a scenario worth planning for in writing, and our backup and recovery service is built around exactly that kind of requirement.
The counter workflow deserves attention because it is where errors happen. A transaction moves through identification, form completion, background check submission, disposition entry and the sale itself, often while other customers wait. Slow workstations, a dropped internet connection during a background check, a scanner that misreads, or a serial number typed manually all create errors that later require correction in the record. We standardize counter hardware, add internet failover so a check submission does not fail mid-transaction, and make sure the workstations handling forms are fast enough not to encourage shortcuts.
Camera systems are a normal part of a firearms retail environment and they have their own design requirements. Coverage of the sales floor, the counter, the vault or safe room and the receiving area, with recording retention long enough to be useful and storage sized to actually deliver it. Cameras belong on their own network segment, never sharing space with your point-of-sale or record systems, with remote viewing secured properly rather than exposed to the internet with a default password. That segmentation work is part of our network administration service.
Ranges add another layer: lane control and target retrieval systems, membership check-in, ventilation and building controls, and often a classroom or simulator. Those operational systems belong on separate segments from retail and record systems. Across all of it, customer records deserve genuine protection, completed forms and disposition records contain personal information, and access should be limited to staff who need it, encrypted at rest, and never casually exported to a spreadsheet on a shared drive. With more than one copy and at least one that ransomware cannot reach. We keep a local copy for fast recovery and an offsite copy that is immutable or otherwise isolated, sized to hold data for your full retention period. Test restores run on a schedule and are documented, because an untested backup is a hope rather than a plan.
Yes. Cloud platforms protect against hardware failure at their end, but they do not protect you against accidental deletion, a billing lapse, an account compromise or a vendor dispute. We recommend maintaining your own periodic export, stored securely under your control, so your records do not depend entirely on a single vendor relationship.
Only staff whose role requires it, through individual named accounts rather than a shared counter login. Role-based permissions, logging of access, encryption at rest and a clear rule against exporting records to spreadsheets on shared drives all reduce exposure. Completed forms contain personal information and deserve the same care as any other sensitive record.
Retention depends on your insurer, your own policy and any applicable requirements, so we size storage to whatever period you decide on rather than to whatever the recorder shipped with. Practically, that means calculating storage from camera count, resolution and frame rate, and confirming the system actually holds the full period rather than silently overwriting early.
Yes. We install a firewall with automatic failover to a second connection, usually cellular, so a carrier issue does not interrupt submissions mid-transaction. We also add power protection at the counter and network closet, since a brief outage during a submission creates exactly the kind of incomplete record that is annoying to correct later.
Yes. Ranges add lane control and target retrieval systems, membership check-in, classroom or simulator equipment, and building and ventilation controls. Each of those belongs on its own network segment, separate from retail point-of-sale and record systems, so a problem in one area does not affect another. We design and document that segmentation.
