Overview
When reporting a problem is slow, awkward or feels expensive, staff stop reporting. They print from a different machine, they keep a spreadsheet on the desktop because the share is slow, they share a login because a licence request took two weeks. Every one of those workarounds becomes a risk nobody documented.
A good help desk is measured by whether people use it. That means low friction at intake and a fast human acknowledgement, so the person who reported knows a real engineer has it. We take requests by phone, through the contact form and through a portal, and all three land in the same system so nothing gets lost between channels.
Every ticket gets a priority based on impact and urgency, and the definitions are published so nobody has to argue. Critical means the business has stopped: a server down, the network dark, mail unavailable for everyone, or a suspected security incident. High means a whole team or a revenue-generating function is blocked. Normal covers single-user issues with a workaround available. Low covers requests and scheduled changes.
Critical and high issues are worked immediately and, for Pod Care clients, outside business hours as well. Normal issues get a same-business-day human response and are worked in order. What we do not do is quietly reclassify your emergency to protect a statistic.
The most common complaint about outsourced help desks is repetition: explaining the same problem to a first-line reader, then again to whoever it gets passed to. Because your account belongs to a pod, escalation happens between people who share the same notes and the same context. The engineer who takes it second already knows your environment.
We also close the loop. Recurring tickets get root-cause attention rather than the same fix applied weekly. If three people report the same sync error, the answer is not three sessions, it is one configuration change.
Ticket data becomes management information. In your recurring Surface Check review we show you what your team is actually raising: which applications generate the most friction, which machines are producing hardware tickets and should be replaced, which processes cause repeat requests. That turns support history into a budget argument you can act on.
The desk pairs with remote support for delivery and sits inside Pod Care for managed clients. Standalone desk coverage is available for businesses with internal IT who need overflow or after-hours help. There is more at helpdesk.orcait.io.
Managed clients are not charged per ticket. We would rather hear about the small annoyance now than find out later that ten people built a workaround around it.
How The Desk Runs
None of this is exotic. It is just done consistently, which is the part most providers skip.
Phone, email and a web portal all create the same ticket. Staff use whichever is fastest for them rather than the one that suits us.
Critical, high, normal and low are defined in writing with response expectations, so nobody has to negotiate the severity of their own outage.
A person confirms receipt with a name attached, the same business day. Automated receipts are not a response and we do not pretend otherwise.
Harder tickets move to a senior engineer who already has the context. You never restate the problem to a stranger.
When the same issue returns, we stop treating symptoms. Recurring tickets get a permanent fix, documented so it stays fixed.

A real person, not an automated acknowledgement, contacts the requester on the same business day the ticket is raised. For critical and high priority issues we start work immediately. Pod Care clients also get after-hours emergency response when the business is stopped.
They are in Arizona, employed by Orca IT. We do not use offshore call centres, overflow contractors or third-party dispatch. The engineer who takes your call is the same one who might visit your Gilbert or Chandler office.
Not on managed plans, where the desk is included in the flat per-user monthly cost. Charging per ticket teaches staff to hide problems, which costs far more than the tickets would have. Standalone desk coverage is also priced per user, not per incident.
Very commonly. We take first-line volume, after-hours coverage and vacation cover so your internal person can work on projects instead of password resets. They also get a team to escalate to when something exceeds their comfort zone.
By phone, by email or through a web portal, all of which create the same ticket. Most companies find phone dominates for urgent issues and email for everything else. We do not force anyone into a specific channel.
Every ticket has an owner and your account has a lead engineer you can go to directly. There is no anonymous queue to escalate into. If something has stalled, one message reaches a person with authority to reprioritise it.
We support it to the boundary of the vendor. We troubleshoot the environment, the workstation, the database connection and the network path, and we open and manage the vendor ticket on your behalf so your staff are not stuck translating between two technical teams.
Yes. The desk is delivered by phone and secure remote session, so a home worker in Queen Creek and a branch office in another state get identical service. Onsite attendance is limited to the Phoenix metro and East Valley.
