Overview

An Arizona IT department, working for businesses everywhere else

We are not a national franchise with a branch in your city. We are one office in Gilbert, Arizona, staffed by our own engineers, doing the work over an encrypted connection instead of in a van.

Most of what a modern business needs from IT does not require anyone to be standing in the room. Servers are managed over a console. Microsoft 365 tenants live in a browser. Firewalls, switches and access points are configured through controllers. Endpoint protection, patching, backup verification and user onboarding all run through agents. Every client is assigned a pod of the same named engineers who learn your environment, your line-of-business software and the two or three quirks that cause most of your tickets. When you call, they already know whether your accounting server is the Hyper-V host or the guest.

We are honest about the boundary. There are jobs that need a human body in your building, and we will tell you when you have hit one rather than burning three hours of your staff’s time trying to talk them through a screwdriver. For those, we arrange a vetted local pair of hands and stay on the call while they work. We do the diagnosis and the decisions, they do the physical part. That is the one place a third party touches your environment, and it happens with your approval, in front of us.

The rest is logistics we have already solved. Time zones, after-hours change windows, shipping replacement hardware, coordinating with your ISP or your landlord’s building IT, onboarding a new hire in a city we have never visited. None of that is exotic. It is just work, done by people whose names you will learn.

The Limits

What remote support genuinely cannot do

Any provider who tells you everything can be done remotely is selling you something. Hardware is physical, and so are the failures that matter most.

A dead power supply, a laptop with a cracked screen, a drive that no longer spins, a switch that needs to be racked, a run of Cat6 pulled through a ceiling, a new access point mounted in a warehouse, a firewall swapped at the demarc, an office move, these need hands and a ladder. So does a machine that will not POST, because there is nothing for an agent to connect to. Physical security work like door controllers and cameras is the same story.

When the job needs a body, we do three things, in this order.

  • Confirm it is genuinely physical. Plenty of “dead” machines are a BIOS setting, a stale boot entry or a failed update we can fix from here.
  • Ship the part or the pre-configured device. We stage replacement laptops, firewalls and access points in Gilbert so they arrive already joined, encrypted and ready to power on.
  • Arrange a vetted local technician for the physical step only, with us on the line directing the work and doing the configuration afterwards.

That last point matters and we want to be precise about it. Orca IT does not have staff in the cities we serve remotely. We do not subcontract your account, your help desk or your decisions. What we occasionally subcontract is a screwdriver, a rack install, a cable run, a hardware swap, under our direction and with your consent. Everything before and after that visit is done by your pod.

What a remote session actually looks like

You ask, and you consent

A ticket by phone, email or the help desk portal. For an attended session we send a one-time connection link that you run; nothing happens until you click it and approve the connection.

We connect, encrypted

The session runs over an encrypted, outbound connection from your machine, no open inbound ports, no permanent hole in your firewall. Managed clients also get an unattended agent so we can patch and fix servers outside working hours.

You watch the whole thing

Your screen stays live and visible. You see every click we make, we narrate anything unusual, and you can take the mouse back or end the session instantly with one button. Sessions are logged, and recordings are available on request.

We close the loop

You get the fix, the cause in plain English, and the documentation update in your environment record, so the next engineer on your pod starts from what we learned today, not from zero.

How we keep remote access from becoming the risk

Remote administration tools are a favourite target for attackers, which is exactly why ours are treated as production security infrastructure rather than a convenience.

Named accounts, MFA everywhere

Every engineer connects with an individual account protected by multi-factor authentication. There are no shared logins and no generic “support” credentials floating around.

Least privilege by default

Technicians hold the rights the job requires and nothing more. Domain and tenant administrator access is separated, deliberate and logged rather than sitting in everyone’s daily account.

Consent and visibility

Attended sessions require your approval and show a visible indicator for the whole session. Unattended agents are inventoried, and we will show you the list of every device we can reach whenever you ask.

Encrypted transport

Connections are encrypted end to end and initiated outbound from your network. We do not ask you to forward RDP to the internet, which is still one of the most common ways businesses get ransomed.

Audit trail

Who connected, to what, when, and for how long is recorded. That log is useful for your own compliance evidence as well as for our accountability.

Offboarding that actually happens

When an engineer leaves or an account closes, access is removed as part of the process, not months later when someone notices. Your credentials remain yours; you own your hardware and licenses.

Scheduling

Time zones, and the quiet advantage of Arizona

Arizona does not observe daylight saving time. That single fact shapes how our coverage lines up with the rest of the country, and it changes twice a year.

We stay on Mountain Standard Time all year. From roughly mid-March to early November, when the rest of the country springs forward, our clocks effectively match the Pacific coast. We are on the same schedule as Los Angeles, San Francisco and Seattle, three hours behind New York and two behind Chicago. From early November to mid-March we line up with the Mountain zone instead: same clock as Denver and Salt Lake City, two hours behind the East Coast and one behind Central.

In practice that means our working day leans late relative to the eastern half of the country. When a firm in Boston or Charlotte reaches 5pm and the day’s problems finally surface, our engineers are mid-afternoon and at full strength. For West Coast clients the winter shift works the other way: we open an hour before you do, so overnight failures are already being handled when your staff arrive.

It also means we schedule maintenance windows in your local time and say so explicitly, because “9pm Arizona” means two different things in June and December to a client in Ohio. Every change window, patch cycle and cutover is written in your clock, confirmed in writing, and run when it costs your business the least. Emergency response for Pod Care clients runs after hours regardless of the zone.

None of this requires you to think about it. It is our job to be awake at the right time, not yours to convert.

Do you actually have staff in my city?

No, and we will not pretend otherwise. Orca IT is one family-owned company operating from Gilbert, Arizona. Every engineer who touches your systems is our own employee working from that office, which is exactly why you get the same people every time instead of a rotating national roster.

We also never ask you to expose RDP to the internet.

How do time zones work with an Arizona provider?

Arizona does not observe daylight saving time, so our offset to you changes twice a year. In summer we match Pacific time; in winter we match Mountain. We schedule every maintenance window and cutover in your local clock and confirm it in writing so there is no ambiguity.

Do I have to sign a long-term contract?
