Remote IT Support · Buffalo, NY

IT support that does not close for the weather

Buffalo rebuilt itself around medicine, education and cross-border trade while keeping a serious manufacturing base. Orca IT supports all four remotely from Gilbert, Arizona, with engineers who start early enough to cover an Eastern-time morning.

Western New York

Four Buffalo economies, four different IT problems

A medical practice on High Street and a machine shop in Cheektowaga have almost nothing in common technically, except that both lose money by the hour when systems stop.

Healthcare is the anchor. The Buffalo Niagara Medical Campus pulled clinical, research and startup activity into a few walkable blocks, and around it sits a large network of independent practices, imaging centres, dental groups and specialty clinics. Their IT pressure is specific: electronic health record performance, imaging that has to move between systems without stalling, and the HIPAA Security Rule sitting over all of it. We help practices meet HIPAA's technical safeguards, access controls, audit logging, encryption at rest and in transit, and tested backup, through our security programme. We do not issue compliance certificates, and you should be sceptical of anyone who says they do.

Higher education and the organisations orbiting it are the second. Research groups, student-facing nonprofits and spin-out companies tend to have generous ideas about access and thin ideas about identity. The fix is rarely more software. It is Entra ID configured properly, multi-factor authentication on every account including service accounts, and an offboarding process that actually removes people when a grant or a semester ends. All of that is configured from our remote support desk, and it rolls into the same flat monthly managed IT plan that covers the rest of your fleet.

Cross-border trade with Canada is the third. Firms working across the Peace Bridge run staff, files and sometimes servers on both sides of the line. That raises real questions about where data lives, which cloud region holds it, and who can reach it. We help you make those choices deliberately rather than discovering them during a customer's due-diligence questionnaire.

Manufacturing is the fourth and the most misunderstood. Western New York's plants are full of production equipment controlled by a PC that cannot be replaced because the vendor is gone or the software will not run on anything newer. Ripping it out is not an option. Isolating it is. We put that machine on its own VLAN with no route to the internet, image it so it can be rebuilt in an afternoon, and protect the network around it. Our network administration work is largely this: making unsafe things safe to keep.

Winter is a continuity requirement, not an excuse

Buffalo businesses lose days to snow every year, and the ones that do not are the ones whose staff can work from anywhere without a scramble. That means cloud-first file storage, laptops rather than desktops for anyone who might need to travel, soft phones that follow the user, and remote access that does not depend on a VPN concentrator sitting in an office nobody can reach. We build for that before the first storm, not during it.

Healthcare IT

EHR and imaging performance

Access control, audit trails, encryption and documented backup testing, mapped to what the Security Rule actually asks for.

Legacy OT

Old machines, isolated safely

VLAN segregation, imaging and strict egress rules for the production PCs you cannot upgrade.

Identity

Entra ID done properly

MFA everywhere, conditional access, group-based licensing and an offboarding checklist that closes every door.

Continuity

Work from anywhere on day one of a storm

Cloud file storage, soft phones and tested remote access so a closure costs you nothing but a commute.

Buffalo IT questions we hear often

You are in Arizona. How does that work for an Eastern-time business?

Arizona does not observe daylight saving time, so we sit three hours behind Buffalo from March to November and two hours behind in winter. Our engineers start their day early specifically to cover Eastern mornings. In practice you get coverage from the start of your day through your afternoon, plus a late-day window when your office has gone quiet and we can do the disruptive work.

Can you support a medical practice remotely?

Yes, and most practice IT work is remote anyway. EHR issues, imaging integration, mail security, identity, patching and backup all happen down the wire. We sign a business associate agreement, restrict access appropriately, and log what we do. Physical work like a failed workstation is handled through a vetted local partner.

We have a machine on the plant floor running Windows 7. Do we have to replace it?

Not necessarily, and often you cannot. The realistic answer is containment: put it on an isolated VLAN with no internet route, allow only the specific traffic it needs, take a full image so it can be rebuilt quickly, and never let it hold company credentials. That converts an unacceptable risk into a managed one while you plan the eventual replacement.

Some of our staff and data sit on the Canadian side. Does that complicate things?

It is manageable, but it should be intentional. We look at where your tenant and backups physically reside, which staff need access to what, and what your customers' contracts require. Then we document it. The usual failure is not a legal problem, it is that nobody wrote down where anything lives.

What happens during a major snow event?

If we set you up correctly, very little. Staff sign in from home with the same credentials and reach the same files. We test that path in advance and confirm your phones follow people off-site. The businesses that suffer in a Buffalo storm are the ones whose systems only work from inside the building.

Do you subcontract your help desk?

Never. Orca IT has been family owned since 2015 and every engineer is ours. You get a small named group who learn your environment rather than a rotating queue of strangers reading a script.

How is this priced?

Flat monthly per user for managed clients, with everything included and no long-term contract required. You own your hardware and licences outright. We will give you the number after the free assessment, once we know what we are actually taking on.
