Practice and clinic support
Imaging workstations that do not stall, EHR connectivity, and the technical safeguards HIPAA expects, encryption, access control, audit logging and proven backups.
Cleveland, Ohio
We support Cleveland companies remotely from our office in Gilbert, Arizona, independent medical practices, shop-floor manufacturers, and the professional firms downtown and out in Beachwood, Independence and Solon. The work is done by the same named engineers every time, never a rotating queue.
What We Do
Northeast Ohio runs on healthcare, on making things, and on the firms that serve both. Those three need different IT.
Imaging workstations that do not stall, EHR connectivity, and the technical safeguards HIPAA expects, encryption, access control, audit logging and proven backups.
We separate the office network from machine controllers and quality stations, so an infected laptop upstairs cannot reach a machine you cannot patch.
Microsoft 365 hardening, document management performance, and email security that stops wire-fraud attempts before a client pays the wrong account.
EDR on every endpoint, MFA on every account, patched firewalls and monitored alerts under Pod Guard. Detection matters more than promises.
Local plus offsite copies, immutable where possible, with restores we actually perform rather than assume. Winter outages are a normal event here, not an emergency.
Your staff get a real person the same business day. Password lockouts, printer failures, Outlook problems and the slow laptop that is quietly costing an hour a week.
Local Context
Two industries dominate the region, and both create IT problems that generic providers handle badly.
The healthcare economy here is enormous, and it is not just the big systems. Around the Health-Tech Corridor and out through the eastern suburbs there is a dense population of independent specialty practices, imaging centers, therapy groups, dental offices, medical billing companies and device and life-science suppliers. Every one of them handles protected health information, and most of them are one lost laptop away from a reportable incident. We focus on the unglamorous parts: full-disk encryption, enforced MFA, tight administrative access, retained audit logs, and backups that have been restored in a test rather than trusted on faith. Our managed IT plan bundles that work into one flat monthly cost.
Manufacturing is the other half of the story. The metals, polymers, tooling and automotive supply base spread through Solon, Twinsburg, Macedonia, Euclid and the industrial corridor along the river all have the same architecture problem. There is an office network with Microsoft 365 and email, and there is production equipment running control software on operating systems that cannot be patched because the machine builder will not certify it. Flattening those together is how a single phishing click stops a line. We segment them, put monitoring on the boundary, and give the plant a way to move files without opening a hole.
Professional services fill in the rest. Downtown around Playhouse Square and East Ninth, and in the office parks in Independence, Beachwood and Westlake, there are law firms, accounting practices, engineering consultancies, insurance agencies and marketing shops. Their exposure is email. Business email compromise is the attack that actually costs Ohio firms money, and it is stopped with conditional access, mailbox rule alerting, proper SPF, DKIM and DMARC records, and training that treats staff as capable adults. That is the core of our cyber security work.
Weather is a genuine operational factor. Lake-effect snow closes offices, and staff work from home with no warning. If remote access only half works, you find out on the worst possible morning. We build for that ahead of time, VPN or Entra-based access that is actually tested, laptops that are already configured, and a phone system that follows people home. Our remote support service is built on exactly that assumption.

How It Works
A remote assessment of your machines, servers, network, Microsoft 365 tenant and backups. Roughly an hour of your time.
We tell you what is urgent, what is next year and what is fine. No fear-selling and no invented risk.
Agents deployed, security baseline applied, documentation written, backups verified and the obvious problems fixed during onboarding.
A recurring review with your leadership covering what broke, what we prevented and what next year's hardware budget should look like.
Arizona never changes its clocks. Cleveland is two hours ahead of us in winter and three in summer, so our afternoon covers your evening, ideal for reboots and migrations after your staff go home.
Why Orca
The question is not where the engineer sits. It is whether the same engineer knows your network.
A pod is a small, fixed group of engineers assigned to you. They learn your servers, your line-of-business software and your staff, and they stay.
No offshore night shift, no third-party dispatch. Everyone who touches your systems is on our payroll in Arizona.
Patching, security, Microsoft 365, servers, backups, help desk and monitoring are all remote work regardless of who provides them. Proximity buys very little.
Failed hardware and cabling get handled through a vetted local partner, with one of our engineers on the call directing the work.
Flat monthly per-user pricing with no long-term contract required. You own your hardware and your licenses outright.
We are not a franchise with a regional upsell quota. The people who own the company answer the phone.
Yes, and most of the technical safeguards are remote work by nature. We handle encryption, access control, unique user IDs, audit logging, patching and backup verification, and we document what we did. We help you meet the technical safeguards; we do not certify your compliance, because no vendor legitimately can.
We do not pretend they can be patched. We isolate them on their own VLAN with tight rules about what can talk to them, monitor that boundary, and make sure a compromise of the office network cannot reach production. It is the same approach we use for Ohio manufacturers with equipment older than their IT staff.
Nothing, if remote access was set up properly. We test VPN and cloud access before you need it, keep laptops configured and encrypted, and make sure the phone system can follow staff. The failures we get called about are almost always things that were never tested.
Not necessarily. Plenty of Cleveland companies keep an internal technician for hands-on work and use us for monitoring, security, servers, Microsoft 365 and escalation. That combination usually costs less than hiring a second internal hire.
Pod Care clients get after-hours emergency response. We do not claim 24/7 staffed phones, because that would be a lie for a company our size. We do run 24/7 monitoring, so many problems are handled before anyone reports them.
For a typical 10 to 60 seat Cleveland business, a couple of weeks from signature to fully documented and monitored. Agent deployment and the security baseline usually land in the first few days, with server and backup work following.
