Who answers, when we are open, and how fast we move

We are a small family-owned team in Gilbert. That has one obvious consequence: when you contact us, you are contacting the people who will actually do the work.

Orca IT Solutions has been fixing, securing and running technology for Arizona businesses since 2015. We do not use offshore call centers, third-party dispatch or subcontracted technicians. The engineer who picks up the phone is on the same team as the engineer who will remote in, and often the same person who will show up at your office. That continuity is the whole point of how we staff support, and it is why we can usually pick up a problem mid-thread without you re-explaining it from scratch.

Hours and response expectations

Our phones and inbox are staffed Monday through Friday during normal business hours. Messages that arrive during those hours get a human reply the same business day, usually much sooner. Messages that arrive overnight or on a weekend get picked up first thing on the next business morning.

Clients on our Pod Care managed plan also have after-hours emergency response. If a server is down, a site is offline, or you have a live security incident outside of business hours, you have a path to reach an on-call engineer directly. We are deliberate about the wording here: we do not claim 24/7 staffed phones. We run 24/7 monitoring, we respond to human requests the same business day, and Pod Care clients get after-hours emergency coverage on top.

What we will ask you

Expect a few practical questions on the first call: what the device or system is, when it last worked correctly, what changed just before it stopped, how many people are affected, and whether there is a deadline attached. Those five answers usually cut the diagnostic time in half.

  • The make and model of the machine, or the name of the server or application
  • The exact wording of any error message, a phone photo is perfect
  • Whether the problem affects one person, one office, or everyone
  • Whether the data on the device is backed up anywhere else
  • Whether you need it back by a specific date

The device in front of you

Powered on and connected if it will boot. Half of remote sessions stall because the machine is at a different desk than the person reporting the problem.

Your Microsoft 365 or email login

Not the password over the phone, just know which account is which. Mixing up a personal Outlook account and a work Entra ID account causes a surprising number of tickets.

Admin access, or the person who has it

Installs, driver updates and network changes need local admin rights. Knowing who holds them saves a callback.

Your internet provider and modem location

For connectivity issues we will want to know who the circuit is with and where the modem, router and switches physically live.

A rough timeline of the failure

Did it start after an update, a power outage, a move, a new app, or out of nowhere? The answer often points straight at the cause.

Your backup situation, honestly

If there is no backup, tell us before we touch the drive. It changes the order we do things in and it can change the outcome.

Who answers the phone when I call?

One of our own engineers or office staff in Gilbert, Arizona. We do not use an answering service, an offshore call center or a third-party dispatch company. If everyone is on a call, leave a message or send a text and you will hear back the same business day.

What are your hours?

How quickly will I hear back?

Same business day for anything that arrives during business hours, and usually much faster than that. If your message needs a technical answer rather than a scheduling answer, we would rather take an extra hour and reply with something useful than fire back a holding message.

Can I text instead of calling?

Do you charge to answer questions?

No. Initial conversations, estimates and our Deep Dive assessment for prospective managed clients are free. We charge for diagnostics and labor once you have approved the work, and you always see the number first.

I am not in Arizona. Can you still help?

Yes. We provide remote support to businesses and home offices in all 50 states, and it covers the large majority of software, security, email, Microsoft 365 and configuration work. Physical repairs and onsite cabling are limited to the Phoenix metro and East Valley.

Can you come to my office?

Onsite visits are available across Gilbert, Chandler, Mesa, Tempe, Ahwatukee, Queen Creek, San Tan Valley, Scottsdale, Phoenix, Apache Junction and Maricopa. Tell us the address when you call and we will confirm scheduling and any travel considerations up front.

What if my problem is urgent right now?
