The standard stack, and why standard is the point

Interesting infrastructure is expensive to run. For most offices, the goal is a stack that is well understood, well documented and quietly reliable.

We deploy a consistent set of technologies across professional offices because consistency is what makes support fast. Identity and productivity on Microsoft 365 Business Premium with Entra ID, devices managed through Intune, endpoint detection and response on every machine, DNS filtering, email security with DMARC configured, and multi-factor authentication on everything. Files move from an aging server to SharePoint and OneDrive where that makes sense, or stay on a properly sized local server or NAS where it does not. Networking is managed switching and a business firewall with wireless designed for the floorplate rather than a router in a closet. Backup covers both cloud data and anything still local, with tested restores.

Multi-tenant buildings add their own complications, and they surprise a lot of tenants. The building demarcation point may be in a shared room you need escorted access to reach. Riser space and pathways between floors are controlled by the landlord. Carrier options depend on what is already in the building, and getting a new fiber circuit installed can take months rather than weeks. Suite cabling is often whatever the previous tenant left behind, terminated to unknown standards. We check all of this before a lease is signed where we can, and we work with property management and your general contractor during tenant improvement so the network is designed rather than improvised.

Conference rooms are where office technology is judged. A room that takes ten minutes to start a call wastes a partner’s time every week. We standardize on purpose-built room systems with a proper camera, microphone coverage matched to the table, a display sized for the room and a single obvious way to start a meeting. Cabling is run in walls rather than draped, and the room gets tested regularly rather than discovered broken at the start of a client presentation.

Commercial office IT questions

How small an office do you support?

Five seats is a comfortable starting point, and we work with smaller teams where the fit is right. Below that, the value is usually in project work such as setting up Microsoft 365 properly, securing devices and establishing backup, rather than a full monthly plan. Flat per-user pricing means a small office is not subsidizing anyone else.

We already have a server. Do we have to move to the cloud?

No. A properly sized server with current hardware, monitored health and real backup is a perfectly good answer for many offices, especially where large files or specific applications make cloud storage awkward. We look at what your applications need, what your internet can support and what your budget cycle looks like, then recommend accordingly.

What does the transition from our current provider look like?

We start with a Deep Dive to document everything, then agree a transition plan that usually spans two to four weeks. We take over monitoring and support first, then address the gap list in priority order. We ask your outgoing provider for credentials and documentation professionally, and we plan around the possibility that we will not receive them.

Do we own our equipment and licenses?

Yes. You own your hardware and your licenses outright, purchased in your company name. We do not hold your infrastructure hostage, and if you ever leave we hand over documentation and administrative credentials. That is a deliberate policy, because a provider who relies on lock-in is not competing on service.

Can you handle an office move?

Yes, and it is one of the most common projects we run. We plan the cabling, order circuits with lead times in mind, coordinate with the landlord and general contractor, relocate and reconfigure equipment, and staff the go-live so the first morning in the new suite is a working one. Moves fail when they are treated as a weekend task rather than a project.

What is included in the flat monthly cost?

Monitoring, patching, help desk, endpoint security tooling, backup management, vendor coordination, documentation and regular business reviews. Hardware, licensing and major projects are quoted separately so you always know what you are buying. There is no long-term contract requirement, and pricing is per user rather than per device.

Do you outsource any of your support?

No. No offshore call centers, no third-party dispatch services and no subcontracted technicians. Every person who touches your network works for Orca IT, and you are assigned a small pod of the same engineers so you are not explaining your environment to a stranger each time you call.
