How We’re Different
Every IT company claims to be responsive, proactive and local. Those words are free. This page lays out the specific structural choices that make us different, including the ones that cost us money.
The Difference
Most disappointment with IT providers is not about effort. It is about how the provider makes money.
The break-fix shop bills by the hour after something goes wrong. Its revenue rises when your systems fail. Nobody there is dishonest, but nothing in the model pays anyone to prevent the failure. You get an invoice that reflects the severity of your bad day.
The typical managed service provider fixes that incentive and then breaks a different one. Flat monthly billing does reward prevention, but scale pressure pushes the work into a shared ticket queue, often with an offshore or white-labeled first tier. The technician who answers has never seen your network. Ownership dilutes. You are proactive on paper and anonymous in practice.
We kept the flat monthly model and refused the queue. Every client is assigned a permanent pod of named engineers, all Orca IT employees, all working from Gilbert. Nothing is outsourced, offshored or dispatched to a third party. That caps how fast we can grow, because growth requires hiring rather than subcontracting, and we have accepted that limit since 2015.
We also removed the usual lock-in devices. No long-term contract is required. You own your hardware, your licenses and your Microsoft 365 tenant. Your documentation is yours and leaves with you. If we are only keeping you through switching costs, we have already failed.
The second structural difference is who you talk to. In many firms the person who sells you the contract is not the person who supports you, and you never see them again after signature. Here you meet the engineers who would hold your account before you commit, and they are the people who answer the phone afterwards. Sales and delivery are not separate species.
The third is what we say no to. We will not claim to certify your compliance, because IT vendors cannot legitimately do that; we implement and document technical safeguards and let your auditor do their job. We will not promise around-the-clock staffed phones; we promise 24/7 monitoring, same-business-day human response and after-hours emergency response for Pod Care clients. We will not take a client our pods cannot properly serve. Each of those has cost us a deal, and each is why the clients we do have stay.

Switching

Where possible we stand our tooling up alongside the incumbent so nothing is unmonitored during the handover window.
Admin credentials, documentation and monitoring transfer to your pod, and we confirm every system is covered before we call it done.
Most transitions land inside two to four weeks with no interruption to your staff.
Proactive is only meaningful if it is staffed and measured. Ours means 24/7 monitoring and scheduled patching, tested backup restores, and root-cause tracking on repeat tickets that gets reported to your leadership. Ask any provider to show you their patch compliance report and their last restore test.
Nothing, if your systems are genuinely simple and downtime does not cost you much. The trouble is that break-fix pays the provider more when things go wrong, so nobody is being paid to prevent the outage. For most businesses over about ten people, the math stops working.
Ask directly whether first-tier support staff are employees of the company, where they are physically located, and whether onsite visits are performed by employees or contractors. Vague answers to those three questions usually mean yes.
No. There is no long-term contract required. We would rather keep you because the service is good than because leaving is expensive, and we make exit easy on purpose.
That is common and it is fixable. During transition we move your Microsoft 365 tenant, licensing and domain control into accounts you own. It takes coordination but it is not a reason to stay with a provider you have lost confidence in.
In a well-planned transition, very little. We run our monitoring and security tooling alongside the incumbent where possible, schedule the cutover outside working hours, and confirm coverage before we finish. Most switches complete in two to four weeks.
Sometimes on the monthly line, rarely on the annual total. In-house staffing costs more than an offshore desk and we do not pretend otherwise. What you get back is faster resolution, fewer incidents and no surprise project invoices, which is where the real money in IT hides.
