Licensing done right
We check eligibility for donated and discounted Microsoft licensing and configure the tenant properly instead of overselling seats.
Oakland, California
Orca IT supports Oakland businesses, nonprofits and community organisations remotely from Gilbert, Arizona. Family owned since 2015, never outsourced, and priced per user so a small team pays a small team's price.
Overview
Oakland's business landscape leans heavily toward organisations that answer to somebody other than shareholders: nonprofits and community health organisations, public-sector contractors and consultancies, education-adjacent groups, transit and infrastructure suppliers, plus the port, industrial and food manufacturing base along the estuary.
Those organisations share a problem. They handle sensitive information, client records, health data, grant reporting, resident information, and they are accountable for protecting it, but they rarely have the budget of a commercial firm with the same obligations. The result, in nearly every assessment we run, is the same picture: good people, aging laptops, one shared administrator password, a backup nobody has verified in two years and a Microsoft 365 tenant with no multi-factor authentication.
Our approach is to be honest about sequencing. Not everything can be fixed at once on a constrained budget, so we rank by real risk and cost. Multi-factor authentication first, because it is nearly free and blocks the most common breach path. Then endpoint detection and response, then a backup that is actually immutable and actually restore-tested, then encryption verification, then hardware replacement on a rolling schedule rather than a single painful purchase. We also check your licensing: nonprofits frequently qualify for donated or heavily discounted Microsoft licences, and we would rather help you claim that than quietly bill you commercial rates. That work runs through Pod Care with security under Pod Guard.
Organisations working on public contracts get an extra layer. Agency agreements increasingly carry data handling and security terms, and grant funders ask questions about controls and continuity. We implement the technical side, access control, logging, encryption, backup evidence, incident response documentation, and produce the artifacts so a reporting requirement is a filing exercise rather than a scramble. On the industrial side around West Oakland and the port, the priorities shift to uptime, network segmentation between operations and office, and wireless coverage in difficult buildings.
Hours line up well. Oakland is Pacific and Arizona does not observe daylight saving, so from March to November our clocks match exactly, no conversion, no confusion, your 9:00am staff meeting is our 9:00am too. From November to March California falls back and we run one hour ahead, which means overnight alerts, backup verification and patch checks are handled before your team arrives. Pod Watch monitoring runs continuously in both seasons, and Pod Care includes after-hours emergency response.
Oakland clients often sit in the same rotation as our San Francisco and San Jose accounts. The delivery detail is on the remote support page, and the full metro list is at remote IT support.
Plenty of security products are worth buying and plenty are not worth it for a thirty-person organisation. A provider who never says “you do not need that” is not advising you, they are selling to you.

How It Works
What you do, who you report to, what you spend now and where it hurts most.
A remote inventory and risk assessment, plus a licensing review that often finds recoverable spend.
Highest risk and lowest cost first, with a phased plan for the rest that fits your funding cycle.
Flat monthly per-user management with monitoring, patching, help desk and periodic reviews.
A small organisation pays a small organisation's cost. No minimum seat games.
Identical from March to November, because Arizona does not observe daylight saving and therefore matches Pacific Daylight Time exactly. From November to March we run one hour ahead of you, so overnight alerts and backup checks are cleared before your staff log in.
Usually more affordable than people assume, because Pod Care is priced per user per month. We also check your eligibility for donated and discounted nonprofit licensing, which frequently offsets a meaningful part of the cost rather than being quietly pocketed by the provider.
It is the single most common serious finding we see in small organisations, and it makes every action untraceable. The fix is individual accounts with role-based permissions, a password manager for genuinely shared credentials, and separate administrative accounts used only for admin work.
Documentation and evidence: a description of the technical controls in place, records showing backups are tested, access control and offboarding procedures, and a written incident response plan. Those are the pieces funders and public agencies actually ask to see.
We will keep it running safely as long as is reasonable, with monitoring, backups and isolation where it is running unsupported software. We will also tell you honestly when continuing costs more in risk and downtime than replacing would, and help you plan the purchase across a funding cycle.
There is no long-term contract, so you are not locked into a term you cannot fund. We would rather adjust scope with you than have an organisation quietly go without support because the agreement was inflexible.
Family owned, transparently priced, and never outsourced.
